Billing Settings

Manage your subscription, payment methods, and billing preferences. This guide shows you how to configure all aspects of your billing settings.

Accessing Billing Settings

  1. Go to Settings in the sidebar
  2. Click on "Billing" tab
  3. Or navigate to /dashboard/settings/billing

What You'll See

  • Current subscription plan
  • Payment method
  • Billing history
  • Subscription details
  • Usage information

Subscription Overview

Current Plan

View your active subscription:

  • Plan Name - Trial, Agent, Team, or Enterprise
  • Status - Active, Cancelled, Past Due
  • Next Billing Date - When next charge occurs
  • Amount - Monthly or annual cost

Plan Details

See what's included in your plan:

  • Lead and trip limits
  • Storage limits
  • Team member limits
  • Feature access
  • Support level

Payment Methods

Adding a Payment Method

  1. Go to Billing settings
  2. Click "Add Payment Method" or "Update Payment"
  3. Enter card details:
    • Card number
    • Expiration date
    • CVV
    • Billing address
  4. Click "Save"
  5. Card saved securely

Updating Payment Method

  1. Find current payment method
  2. Click "Update" or "Change"
  3. Enter new card details
  4. Save changes
  5. New card is active immediately

Removing Payment Method

Note: You must have an active payment method if you have a paid subscription.

  1. Add a new payment method first
  2. Set it as default
  3. Remove old payment method
  4. Or cancel subscription first

Billing Address

Setting Billing Address

  1. Go to Billing settings
  2. Find "Billing Address" section
  3. Enter address details:
    • Street address
    • City, State, ZIP
    • Country
  4. Save address
  5. Used for invoices and receipts

Updating Address

  1. Find current billing address
  2. Click "Edit" or "Update"
  3. Modify address fields
  4. Save changes
  5. Updated on next invoice

Invoice Management

Viewing Invoices

  1. Go to Billing settings
  2. Find "Billing History" or "Invoices"
  3. See list of past invoices
  4. Click on any invoice to view details

Invoice Details

Each invoice shows:

  • Invoice number
  • Date and amount
  • Items charged
  • Payment status
  • Download link (PDF)

Downloading Invoices

  1. Find invoice in billing history
  2. Click "Download" or "View PDF"
  3. Invoice downloads
  4. Save for your records

Subscription Management

Changing Plans

  1. Go to Billing settings
  2. Click "Change Plan" or "Upgrade/Downgrade"
  3. Review available plans
  4. Select new plan
  5. Confirm change
  6. Changes take effect immediately or at next billing cycle

Cancelling Subscription

  1. Go to Billing settings
  2. Find "Cancel Subscription"
  3. Confirm cancellation
  4. Access continues until end of billing period
  5. No refunds for unused time (check terms)

Reactivating Subscription

If you cancelled:

  1. Go to Billing settings
  2. Find "Reactivate Subscription"
  3. Confirm reactivation
  4. Billing resumes immediately
  5. Full access restored

Usage Limits

Viewing Usage

See your current usage:

  • Leads - Current vs. limit
  • Trips - Current vs. limit
  • Storage - Used vs. available
  • Team Members - Current vs. limit

Understanding Limits

Each plan has limits:

  • Trial - Limited features, 14 days
  • Agent - Solo use, unlimited leads
  • Team - Multiple members, shared limits
  • Enterprise - Custom limits

Approaching Limits

If you're close to limits:

  • You'll see warnings
  • Consider upgrading plan
  • Or clean up unused data
  • Contact support for help

Billing Preferences

Email Notifications

Configure billing emails:

  • Invoice notifications
  • Payment receipts
  • Subscription reminders
  • Failed payment alerts

Auto-Renewal

  • Enabled - Subscription renews automatically
  • Disabled - Manual renewal required
  • Toggle in billing settings
  • Recommended: Keep enabled

Billing Frequency

Choose how you're billed:

  • Monthly - Charged every month
  • Annual - Charged once per year (save with annual)
  • Change in subscription settings

Payment History

Viewing History

  1. Go to Billing settings
  2. Find "Payment History"
  3. See all past transactions
  4. Filter by date range
  5. Export if needed

Payment Status

  • Successful - Payment completed
  • Pending - Processing
  • Failed - Payment didn't go through
  • Refunded - Payment returned

Troubleshooting

Payment Failed

  1. Check payment method is valid
  2. Verify sufficient funds
  3. Update card if expired
  4. Contact your bank
  5. Try different payment method

Can't Update Payment

  • Check you have correct permissions
  • Only owner can manage billing
  • Verify card details are correct
  • Contact support if needed

Missing Invoice

  • Check email (including spam)
  • Download from billing history
  • Check date range
  • Contact support for copy

Wrong Amount Charged

  • Review invoice details
  • Check plan pricing
  • Verify billing cycle
  • Contact support for clarification

Security

Secure Payments

  • All payments processed securely
  • Card details encrypted
  • PCI compliant processing
  • No card details stored on our servers

Access Control

  • Only owners can access billing
  • Admins cannot manage billing
  • Agents have no billing access
  • Protect account credentials
